We are the data controller responsible for your personal data as described in this policy.

2. What Data We Collect

We only collect personal data that you voluntarily provide to us through our website forms. We do not use cookies, analytics tools, tracking pixels, or any automated data collection technologies.

Contact Form

When you submit our contact form, we collect your name, your email address, and your message.

Newsletter Signup

When you subscribe to our newsletter, we collect your email address and, optionally, your name.

Workshop Registration

When you register for a workshop, we collect your first name, last name, email address, phone number (optional), experience level, and any additional message you choose to include (optional).

3. Anonymised Usage Data

In certain services, we may collect anonymised, aggregated data related to software development activity, such as commit frequency, build performance, and defect metrics. This data is fully anonymised and cannot be used to identify any individual.

As anonymised data falls outside the scope of personal data under GDPR (Recital 26), it is not subject to the data protection rights described in this policy. We use this data solely to improve our services and provide insights to our clients.

4. How We Use Your Data

We use the data we collect for the following purposes:

  • Contact form submissions: To respond to your enquiry and communicate with you about the subject of your message.
  • Newsletter subscriptions: To send you our email newsletter containing updates, insights, and information about our services and workshops.
  • Workshop registrations: To process your registration, confirm your place, send you workshop details, and communicate with you about the event.

We do not sell, rent, or share your personal data with third parties for their marketing purposes.

5. Legal Basis for Processing

Under the General Data Protection Regulation (EU Regulation 2016/679), we process your personal data on the following legal bases:

  • Consent (Article 6(1)(a)): When you subscribe to our newsletter, you give us your explicit consent to send you marketing communications. You may withdraw this consent at any time.
  • Legitimate interest (Article 6(1)(f)): When you submit a contact form or register for a workshop, we process your data based on our legitimate interest in responding to your enquiry and providing you with the service you requested. We have assessed that this processing does not override your rights and freedoms.

6. Third Party Data Processors

We use the following third party service providers who process data on our behalf:

  • Loops.so: Email marketing platform used to deliver our newsletter. Loops processes your email address and name (if provided) for newsletter delivery.
  • Netlify: Web hosting and form processing platform. Form submissions pass through Netlify's infrastructure.
  • Sanity.io: Content management system where form submissions are stored.

All processors are bound by data processing agreements and are required to handle your data in accordance with GDPR requirements.

7. International Data Transfers

Some of our third party processors operate outside the European Economic Area (EEA). Where personal data is transferred outside the EEA, we ensure that appropriate safeguards are in place, such as Standard Contractual Clauses approved by the European Commission, or the processor's participation in recognised data protection frameworks.

8. Data Retention

We retain your personal data only for as long as necessary to fulfil the purposes for which it was collected:

  • Contact form submissions: Retained for up to 12 months after our last communication with you, then deleted.
  • Newsletter subscriptions: Retained until you unsubscribe. Upon unsubscription, your data is deleted within 30 days.
  • Workshop registrations: Retained for up to 24 months after the workshop date for follow up communications and record keeping, then deleted.

9. Your Rights Under GDPR

As a data subject under GDPR, you have the following rights:

  • Right of access: You can request a copy of the personal data we hold about you.
  • Right to rectification: You can ask us to correct any inaccurate or incomplete data.
  • Right to erasure: You can ask us to delete your personal data where there is no compelling reason for us to continue processing it.
  • Right to restrict processing: You can ask us to suspend the processing of your personal data in certain circumstances.
  • Right to data portability: You can request that we transfer your data to another organisation or directly to you, in a structured, commonly used, and machine readable format.
  • Right to object: You can object to our processing of your personal data where we are relying on legitimate interest as our legal basis.
  • Right to withdraw consent: Where we rely on your consent to process data (such as for the newsletter), you can withdraw that consent at any time. This does not affect the lawfulness of processing carried out before the withdrawal.

10. Children's Privacy

Our services are not directed at individuals under the age of 16. We do not knowingly collect personal data from children. If you believe we have inadvertently collected data from a child under 16, please contact us immediately at connect@ekohacks.com and we will take steps to delete that information.

We may update this privacy policy from time to time to reflect changes in our practices or for legal, regulatory, or operational reasons. When we make changes, we will update the "Last updated" date at the top of this page. We encourage you to review this policy periodically.
